Events Coordinator
Position Overview
The Events Coordinator will be responsible for organizing events and meetings related to membership development, community engagement, and placemaking. The Events Coordinator also works closely with staff on communications that model and promote the mission, vision, and values of the Tampa Downtown Partnership. This position reports directly to the Director of Membership and Programming.
Responsibilities
Coordinate and oversee all aspects of event planning to include, but not limited to, such events as the Annual Downtown Development Forum, Annual Luncheon and Meeting, Debriefing Series, and Member-Exclusive events.
o Assist with negotiation and review of event contracts and agreements.
o Assist with managing event budgets, including tracking and ensuring expenses remain within budget.
o Organize speakers; recruitment, talking points, bios, event information, profile pictures, uploading presentations, etc.
o Work with marketing and design staff to develop messaging, branding, and marketing materials, to include collateral, electronic, and social media promotions related to events
o Perform other duties as assigned.
Required Skills and Competencies
Event planning experience.
Excellent written and verbal communication skills.
Thorough and excellent attention to detail.
Demonstrates intellectual integrity, fairness and open-mindedness.
Works well under pressure.
Ability to work early morning, some evening hours.
Must be able to interact with all levels of staff, Board members, business and community leaders, and stakeholders.
Excellent organizational, planning and project management skills.
Preferred Skills and Experience
Familiar with operations of Business Improvement Districts (BID).
Familiarity and connections to current industry trends related to urban development with ability to build programs and events associated with current topics and trends.
Background in Photoshop, Email management software, registration, and Social Media applications.
Job experience working for Not-For-Profit organization.
Required Education and Experience
Degree in business, marketing, public relations, or related field or equivalent proven experience in event planning.
Comprehensive understanding of Downtown Tampa and acquainted with significant stakeholders.
Proficient in Microsoft Office (Word, Excel, PowerPoint), and Adobe Creative Suite.
